Sales quotations #

Introduction #

Sales quotations allow you to offer your customers products before purchase. The screens for sales quotations are very similar to the screens for sales orders. It is possible for instance to configure engineer to order products on an offer and this configuration will be carried through to the sales order if the quotation is converted to an order. The sales quotation has two extra fields compared to a sales order to cover the classification of the quotation and the cost budget to which expected margins are displayed.

Licensing #

The sales quotations module needs to be licenced to use this module.

The following optional license modules affect sales orders (See the Admin->Licensing section for more details):

Sales Quotations Required.

Sales/Purchase advance invoicing

Advance payments can be specified for sales order lines.

Item dimensions

A manufactured item on a sales order line with a dedicated work order can have a product structure that is related to its dimensions.

Multilocation inventory

Allows the sale of items from more than one location. Supports drop shipment (also called triangular shipping)

Projects

Can group multiple sales orders under one project.

Using #

On the sales main menu, sales quotation dashboard, press New to create a new sales quotation or select an existing one from the selection list.

For details of the functionality and meaning of fields, please refer to the help for sales orders.

Anticipated margin can be seen from the report “Sale quotation margin” available in the drop down list of reports.

After entering data into the quotation, remember to activate it. After a quotation has been activated it can be changed by making a new version. Remember also to activate the new version after the changes have been made.

Sales quotations can be converted to a sales order by pressing the “Move to order” button.

If the customer is not expected to purchase this order, the quotation should be closed by pressing the “Close” button.
