Licensing #
The various optional modules available and also the number of concurrent users is controlled though the licensing screen.
To access the screen, click the Licensing link in the Administration dashboard of the Admin menu. This will open a popup wizard. The wizard has a number of screens that can be completed which will display the various optional modules available and their pricing. Note that any module or upgrade is not licensed until after the final confirmation button is pressed, so it is possible to browse the availability and the effect on your pricing without commitment.

Note that all optional modules and additional users can be cancelled at any time. Prepaid monthly fees cannot be refunded. Cancelling your subsciption for a paid license will allow your system to be used until the end of the current month. Cancelling it during the trial period will allow you to enter your credit card details immediately and continue with the system use.
Your current agreement #
By default, a new account will be using the Standard edition. To license more than 4 concurrent users or to access an extended list of modules it is necessary to upgrade the system by pressing the Upgrade button. (Pressing the upgrade button does not yet commit the upgrade, there will still be a final confirmation)

The maximum number of concurrent users that can be licensed in this agreement. To exceed this amount, it is necessary to upgrade the agreement. If there is not an upgrade button, please contact sales. |

The number of concurrent users that are included in this agreement with no user charge. |
Current licensed users |
The number of concurrent users currently licensed. This number can be changed up or down within the minimum and maximum specified. |
Space used |
The current amount of space that your system database is consuming, out of the total allowed in the agreement. Please contact us if space is becoming limited. There is no space limit for bona fida customers. |
Included extensions |
The extensions included in this agreement without additional per module charges. |
Optional extensions |
The list of modules that can be added to the agreement with payment of the appropriate fee. |
Monthly price |
The cost per month of licensing the module. Note that some modules may have an additional start-up fee. This will be displayed on the next screen. |
Cancel all subscriptions |
Press this button to cancel all subscriptions and return your system to the original license configuration. This will also cancel any credit card agreements that have been made with RBSWorldPay. It will not delete any data from your system. |

Payment method #
The default payment method is credit card using WorldPay. Other payment methods may be available according to your location. See later in this chapter for more information on WorldPay
Monthly fees page #
This shows the comparison of the current monthly fees (i.e. before this new licensing selection) and the new monthly fees.
The monthly fee may include three separate elements:

Setup fees page #
This page will only appear if there are any specific setup or opening fees for the modules to be licensed. Check the numbers and press Next.
Your monthly fee page #
This shows the final price calculation.
New opening fee |
The sum of any opening fees plus the pro rata monthly fee from now until the end of the month. Note that because RBS WorldPay has an 8 day allowance for FuturePay transactions, if the current date is closer than 8 days to the end of the month, the opening fee will also include the following months’ fees in addition to the time to the end of the month. The next billing cycle will then start at the end of the subsequent month. |

Confirmation check box |
By clicking the confirmation check box, you are confirming that you accept and agree to our standard terms and conditions which are available from our public web site. |
If data is correct, check the confirmation check box and press Confirm. This will confirm the license purchase and open the RBS WorldPay screens. Note that the license will only be available if the payment is completed successfully.
WorldPay and FuturePay #
WorldPay is a secure payment service used by tens of thousands of companies around the world. By using WorldPay, Manu Online does not need to store your credit card information. FuturePay is the part of WorldPay concerned with subscription fees that will be billed to your credit card on a monthly basis in the future.
When a new option or greater concurrent user count is licensed, the costs of any opening fees plus the pro rata costs of the monthly fee to start of the next billing period will be charged immediately using a normal credit card payment. If there are any monthly fees in subsequent billing cycles, then a FuturePay agreement will be created against the credit card so that the monthly fees can be charged without further action on your part.
In practice this means that you will receive either one or two emails from WorldPay when completing the payment screens, one for the immediate payment and the second if there is a Futurepay agreement.
On the first screen, select your credit card or payment method. If you choose a different currency, it will be converted to the appropriate currency according to RBSWorldPay’s rates.
You will then be prompted for the card details, address information and an email address. Press the Make Payment check mark to proceed.
You will get a confirmation of the payment and optionally the FuturePay agreement. After your payment has been processed you will be redireced back to Manu Online and there will be a message that the license has been updated.
Important! Do not close your browser during this process. Sometimes it can take several minutes to update the card and license data.
If a problem is encountered during payment #
If the payment via WorldPay is not successful for any reason, the license wizard will time out and the licenses will not have been purchased. The next time a payment is attempted the system will prompt you that there is a pending payment and should it be deleted. If your credit card has not been billed, then please delete the pending payment and continue. If your credit card has been billed, please do not delete the pending payment, but contact customer service at Manu Online to arrange a refund.
